Set up the artist prefix

The artist prefix in ITGallery is an internal code that lets you identify artists and generate automatic, organised numbering of the inventory ID for their artworks.

How to add a prefix to an artist

  1. Go to the Artists module.
  2. Create a new artist or edit an existing one.
  3. Enter the code you want in the Prefix field.
  4. Add the corresponding number in the Number field.
  5. Save your changes.

How it works when creating artworks

  1. Once the artist prefix is set up, the system uses it when you create new artworks.
  2. When you record an artwork, ITGallery automatically suggests the next inventory ID available for that artist.
  3. This suggestion is not mandatory, so you can keep it or change it manually.
  4. If the artist Victoria Wendish has the prefix VW, the first artwork the system suggests will be VW1 and the numbering will move on according to the number of artworks recorded.

Recommendations

  1. The prefix is usually made up of letters related to the artist's name.
  2. Each artist has their own prefix.
  3. The prefix is combined with a number to create an internal reference.
  4. Use a consistent structure for all artists.
  5. Avoid repeating prefixes between different artists.
  6. Keep codes short and easy to recognise.

Tip

Setting prefixes from the start keeps your inventory tidy. If you prefer common numbering for all artworks, the autonumbering settings may be a better option.

Alternative to the artist prefix

  1. If you do not want to use an inventory ID linked to each artist, you can set up a general alphanumeric code for artworks.
  2. This option is managed from My gallery > Settings > Autonumbering.
  3. You can read more about this setting in the article Autonumbering.
