Record payments to artists

Recording payments to artists lets you keep track of outstanding amounts, payments made and settlements with your artists linked to the sale of artworks.

As well as recording manual payments, you can set how much is due to the artist in each transaction.

Set the amount due to the artist

There are two ways to record the profit or amount the artist receives for a sold artwork:

  1. When creating an artwork

Fill in the Artist amount field with either:

    1. A percentage of the artwork price.
    2. A fixed amount.

  2. When recording a sale

When you add an artwork to the sale, edit the Artist amount field to adjust the amount due to the artist in that transaction.

Record a payment to the artist

Once a sale has been recorded in your sales module, it is automatically linked to the sales tab of each artist, according to the amount you set earlier.

To record the payments that you, as the gallery, make to your artists:

  1. Go to the Artists module.
  2. Open the record of the relevant artist.
  3. Go to the Payments tab.
  4. Click New payment.
  5. Fill in the payment information.
  6. Save the record.

Data you can add to a payment

  1. Payment Date.
  2. Amount paid.
  3. Reference number.
  4. Payment method.
  5. Details: for additional notes.

Find sales quickly

Use the search box in the Sales tab to find a particular transaction without going through the whole list manually. It is especially useful when you need to record a payment right after a sale or check an earlier transaction.

  1. Type the artwork name, invoice number, amount or artist payment status in the search box.
  2. The system filters the results automatically.
  3. Select the sale you found to record or review the payment.

Sort the sales list

The sales list can be sorted from the columns that show an arrow in the header. This lets you find information faster and review movements using different criteria.

  1. Click the header of the column you want to sort by.
  2. Click again to switch between ascending and descending order.

Export payments

You can export the artist's payments to Excel by selecting a particular period. This is useful for accounting closes, internal tracking or settlements.

  1. Click Export payments to excel.
  2. Select a Start date and an End date.
  3. Click Export.
  4. Download the file generated.
