Sale

One of the ways to record the sale of an artwork in the system is to do it from the artwork record itself, in the 'Actions' tab. To do this:

  1. From the artwork record, go to the 'Actions' tab and click the 'Sell' submenu on the left
  2. Fill in the information about the sale of the artwork. You can select as many editions as you want to add to the sale. Remember that fields with a red asterisk are mandatory
  3. Finally, click 'Sell artwork'. The status of the artwork will change automatically to 'Sold' and a new record will be created in the 'Sales' module.*

*Tip: to record the sale of more than one artwork, we recommend doing it through the 'Sales' module.

Status change

Use the 'Status change' submenu within the 'Actions' tab on the artwork record to change the status of the artwork. To do this:

  1. From the artwork record, go to the 'Actions' tab and click the 'Status change' submenu on the left
  2. Select the edition of the artwork whose status you want to change (even if it is a unique work)*
  3. Choose the new status from the drop-down menu
  4. Optionally, you can add extra data such as the date of the status change and a description.

*Tip: use the 'Status change' submenu when you want to change the statuses of an artwork with editions.

Histories

Within the artwork record, in the 'Actions' tab, you can open the history of its statuses, prices and locations - that is, records showing how the status, price and location of the artwork have changed over time.

To do this: 'Artwork record' > 'Actions' tab > 'Status history'/'Price history'/'Location history' section.

Within each history you can see the date the change took place, the ID of the artwork (or edition), the action carried out, the new and previous value of that field, and the user who made the change.

* Remember that by default the records appear in the order they were made, so you will see the most recent changes first. You can, however, sort them by whatever criterion you prefer by clicking the horizontal arrows.
