Manage subscriber lists

Manage your subscriber lists from Mailing to organise the recipients of your campaigns.

Subscriber lists are groups of email addresses you can use to send campaigns to particular audiences.

Difference between contacts and subscribers

ITGallery contacts and mailing subscribers do not necessarily have to match.

You can have contacts saved in ITGallery that are also synchronised with Mailing, but you can also have subscribers that only exist within the Mailing module.

To understand this difference better, see the article Difference between ITGallery contacts and mailing subscribers.

Reach your subscriber lists

  1. Go to the Mailing module.
  2. In the left side menu, click View all lists.
  3. Review the lists available.
  4. Click a list to see or manage its subscribers.

The first time you go in, you will find some pre-configured lists. These lists are connected to the ITGallery contacts and match the contact categories. They receive information from your contacts when you turn on the Save for mailing option on the contact record.

Create a custom list

Create custom lists to group subscribers by whatever criterion you need.

  1. Go to the Mailing module.
  2. Click View all lists.
  3. Click Add a new list.
  4. Type the name of the new list.
  5. Click Add.
  6. If you are importing subscribers at that moment, select the CSV file with the contacts.
  7. If the subscribers are in the European Union, turn on the Apply GDPR option.
  8. Click Import.

Tip

If the contacts are already recorded in ITGallery, you can prepare the file from the Contacts module with the Export contacts for mailing tool.

Create a subscriber list from your website

Sendy lets you generate a subscription form so visitors to your website can add themselves to a mailing list.

You can use a link to the form or insert the HTML code into your website.

  1. Go to the Mailing module.
  2. Click View all lists.
  3. Create a new list to hold the subscribers coming from your website.
  4. Open the list.
  5. Click Subscription form.
  6. Copy the link or the HTML code.
  7. Insert the link or the code into your website.

Adjust the settings of a list

Each list has its own subscription and unsubscription settings.

  1. Go to the Mailing module.
  2. Click View all lists.
  3. Open the list you want to set up.
  4. Go to List settings.
  5. Adjust the subscription and unsubscription details of that list.
  6. Save your changes.

Edit a subscriber's details

You can change a subscriber's details directly from the list they are saved in.

  1. Go to the Mailing module.
  2. Click View all lists.
  3. Open the list the subscriber is in.
  4. Click the subscriber's name or email.
  5. Edit whatever details you need, such as name, email or custom fields.
  6. Save your changes.

What happens when a subscriber unsubscribes

By default, when a subscriber unsubscribes from a campaign, they are unsubscribed from every list they belong to.

You can change this behaviour from the list settings.

  1. Go to the Mailing module.
  2. Click View all lists.
  3. Open the list you want to set up.
  4. Go to List settings.
  5. Find the unsubscribe setting.
  6. Change the option if you want the unsubscribe to affect only that list.

Resubscribe a contact

You can resubscribe someone who appears as Unsubscribed.

  1. Go to the general subscriber list.
  2. Find the unsubscribed contact using the search box.
  3. Check their status on the right.
  4. If they appear as Unsubscribed, click the relevant icon to resubscribe them.
  5. If that person is also saved as a contact in ITGallery, check that the Save for mailing option is ticked on their contact record.

Delete subscribers from a mailing list

You can delete subscribers from a mailing list individually or in bulk.

Deleting a subscriber from a list means they will no longer be linked to that list and will not receive campaigns sent to it.

If that subscriber also exists as a contact in ITGallery, they stay saved in the Contacts module. They simply stop being linked to the mailing list you removed them from.

Delete a subscriber individually

  1. Go to the Mailing module.
  2. Open View all lists.
  3. Open the list the subscriber you want to delete is in.
  4. Find the subscriber in the list.
  5. In the Delete column, click the bin icon.
  6. Confirm the deletion if the system asks you to.

Delete subscribers in bulk

You can delete several subscribers in bulk by importing a CSV file.

Sendy compares the data in the file with the current subscribers of the list and deletes the ones that match.

  1. Go to the Mailing module.
  2. Open View all lists.
  3. Open the list you want to delete subscribers from.
  4. Click Delete subscribers.
  5. Import the CSV file  or enter the subscribers you want to delete, one per line.
  6. Confirm the bulk deletion.
