Insurance information
ITGallery lets you record detailed information about the insurance of each artwork through the Insurance information tab, within each artwork record.
Add insurance information
To reach this information:
- Open the artwork record by clicking the title or the inventory ID.
- Select "Additional info"
- Then go to "Insurance information"
This tab includes the following fields:
- Edition: select the edition to insure.
- Insured: a box you can tick to show whether the artwork is currently insured.
- Date: the start date of the insurance; by default it shows the date the data was entered.
- Company: field for the insurance company.
- Insured value: you can enter the value the artwork is insured for and the relevant currency.
- Expiry: the expiry date of the insurance.
Remember that only one insurance record is allowed per edition and specific date. If you try to create an entry that overlaps with an existing one, the system will show a notice about the conflict.
Once the insurance details are entered, you can attach a document linked to each insured edition. To do this, select the sheet-shaped icon with the β+β symbol that appears next to each insurance entry.
Search for insured artworks
In the advanced search of the artworks list, you can use a specific filter to search for insured or uninsured artworks.
An artwork is considered insured if at least one of its editions has an insurance record marked as βYesβ and with a valid date at the time of the search (that is, today's date falls within the validity period of the insurance recorded).
This filter makes it easy to find artworks with current cover, or to identify those whose insurance details need updating.
