Set up artwork editions and statuses in a showroom

You can define how the edition, availability and commercial status information of the artworks is shown within a showroom. This lets you adapt how the availability of each piece is presented.

How to set up artwork editions and statuses

  1. Go to the Showrooms module from the main menu.
  2. Click Edit on the showroom you want to change.
  3. Go to the Artwork settings block.
  4. Turn on or change the edition and status options as you need.
  5. Save the changes to the showroom.

Edition settings

Show editions

Lets you show one particular edition of each artwork within the showroom.

When you turn this option on, the system shows a notice:

Switching to "Show editions" will assign the first edition created for each artwork in the showroom by default.

This means that, by default, it will show:

  • 1/3
  • 1/10
  • or the first edition recorded on the artwork record

Select which edition to show

The edition shown can be changed from the Artworks tab within the showroom.

PENDING

Show total editions

When you select Show editions < No, a new setting appears called Show total edition.

It lets you show only the total number of editions of an artwork.

For example:

  • Editions: 5

Unlike “Show editions”, it does not show a particular edition (such as 1/5), only the total available.

When to use each option

  • Show editions → when you want to give information about a particular edition
  • Show total edition → when you only want to say how many there are

Hide unique edition

Lets you hide the edition information when the artwork does not have multiple editions.

It is useful for avoiding unnecessary information on unique works.

Statuses and availability

Show statuses

Lets you show the status of each artwork (for example: Available, Sold, Reserved).

When you turn it on, you can select in the search box which statuses you want to show.

You can select one or several statuses to decide which ones you want to show publicly.

Remove sold artworks

Lets you automatically hide from the showroom any artworks marked with the sold status.

The artwork stays recorded within the showroom in ITGallery, but it stops being shown on the public link you share.

Show status if the artwork is sold

Lets you automatically show the Sold status when an artwork has been recorded as sold, either manually from the list or automatically when a sale is recorded from the sales module.

Relationship with prices

You can also hide the price of an artwork depending on its status (for example, when it is sold or reserved).

This is set up in the prices section.
